Submitting, Prioritizing, & Meeting Ticket Expectations
Optimizing the web team’s workflow

Clear & Comprehensive Information
- Accounting tickets must be submitted before any job ticket is started.
- Design/development team requires complete information before job commencement.
- Inadequate information (e.g., missing forms, missing accounting tickets, contact details) delays FileMaker job ticket creation; the design/development team won’t initiate a FileMaker job until all necessary details are available.
- If the design/development team determines insufficient information to start a job, Digital Project Manager gathers essential details for Job Ticket resubmission on the Web Department Hub.
Job Ticket Submission
- Proceed to the orange “Open Job Ticket” button on the Web Department Hub.
- Complete all required fields in the Job Ticket form, providing accurate project descriptions, necessary attachments, & specific requirements.
Job Ticket Types & Priorities
The Job Ticket form incorporates the following features:
- Ticket Types: A drop-down menu to select the appropriate ticket type, such as “Website Update” or “Domain Transfer In.”
- Priority Levels: An area to designate the priority level of the ticket, including “Low,” “Normal,” or “High.”
Low & Normal Priority Tickets:
- Tickets categorized as low or normal priority will be systematically added to the development/design team’s queue.
- The development/design team commits to addressing these tickets within a 2-business-day timeframe from the submission date.
High Priority Tickets:
- High priority tickets demand immediate attention from the development/design team.
- The development/design team will promptly notify the Digital Project Manager regarding the anticipated completion timeline & any necessary client communication.
Development/Design Team Workflow
Upon successful ticket submission:
- The ticket will be automatically redirected to the development/design team.
- The development/design team will conduct a thorough review of the ticket’s particulars & associated requirements.
- If all requirements are met, a design/development team member will open an official FileMaker job.
- For tickets with low or normal priority, they will be listed in the queue based on the order of submission.
- High priority tickets will be promptly attended to, ensuring quick attention.
Accounting Tickets
Furthermore, it is essential to restrict accounting ticket submissions to the Digital Project Manager exclusively. This approach serves a dual purpose: it safeguards the valuable production time of our design/development team members & reinforces the delineation of responsibilities.
